3.9 Data Breaches
3.9.1 Action upon Discovery of a Breach
On finding or causing a breach, or potential breach, the breach will be reported to our Data Protection Officer, immediately upon discovery. The details of the breach will be recorded.
Our Data Protection Officer will carry out an assessment of the actions necessary to mitigate any harm that might result from the breach. Each breach will be assessed on an individual basis and any actions taken shall be appropriate to the particular circumstances of the incident in question.
3.9.2 Notification to the ICO
Keep Britain Tidy will notify the ICO without undue delay and, in any event, within 72 hours of becoming aware of it, where a breach is likely to result in a risk to the rights and freedoms of individuals. This means that, if unaddressed, the breach would be likely to have a significant detrimental effect on the individuals concerned – for example, result in discrimination, damage to reputation, financial loss, loss of confidentiality or any other significant economic or social disadvantage.

3.10 Accessing your personal data (a Subject Access Request)
You may want to see a copy of the information Keep Britain Tidy holds about them. You are entitled to be:

- given details of the source of the data (where this is available).
A Subject Access Request (SAR) provides a right for you to see your own personal data, rather than a right to see copies of documents that contain your personal data.

6.9 Do We Need your Consent?
We do not need your consent if we use special categories of your personal information in accordance with our written policy to carry out our legal obligations or exercise specific rights in the field of employment law. This section of our privacy policy applies to individuals who sign up to the Green Flag Award or view, use or download content or communicate or interact with us via our website www.greenflagaward.org.uk (‘our website’).
7.1 Categories of information we hold about you
If you sign up to the Green Flag Award, apply for a Green Flag Award, communicate with us, or do business with us, this will result in us collecting personal information about you. We will collect, store, and use the following types of personal information about you:
- Contact details such as your name, address, email address and telephone number;
- Information about how you use our website and details of the resources you have accessed;
- Details provided within your application for a Green Flag Award;
- Records of your engagement with us, either through our website or by telephone, e-mail or post;

- The administration of the Green Flag Award including reviewing applications, judging applicants and monitoring the progress of award winners;

We do not allow our third-party service providers to use your personal information for their own purposes. 7.5 Where your personal information is stored
The personal information that we collect from you is stored within the European Economic Area (EEA). It may be necessary to transfer and store your personal information at a destination outside EEA. It may also be processed by organisations operating outside the EEA who work for us or for one of our suppliers or partner organisations (e.g. organisations administering the Green Flag Award on our behalf abroad).
